THE FRIENDS OF RUSSIA DOCK WOODLAND CONSTITUTION

1. We are called the Friends of Russia Dock Woodland and are also known as Russia Dock Woodland Steering Group

2. Our purposes are to protect and enhance, promote and enjoy Russia Dock Woodland.

3. Membership is open to all.

4. An Annual General Meeting shall be held each year.

5. Ordinary General Meetings (OGM) to organise the business of the organisation will normally be held monthly but must be held at least once every four months.  All members are to be notified of OGMs either my e-mail, letter or telephone.

6. Membership and rates (if any) shall be set at the Annual General Meeting.

7. Not less than FOURTEEN DAYS NOTICE of the Annual General Meeting shall be given to all members of the Friends of These officers shall be elected at each Annual General Meeting: Chair, Vice Chair, Secretary, Treasurer and Membership Secretary (optional).

8. No officer may remain in the same post for longer than FIVE YEARS (optional).

9. The Friends of Russia Dock Woodland meetings are open to all woodland users.

10. The quorum for ordinary general meetings is FIVE.

11. The Friends of Russia Dock Woodland takes decisions to further its purposes.

12. An auditor shall be nominated at each Annual General Meeting (optional).

13. Our financial year ends on the last day of MARCH.

14. Accounts for the past year shall be presented to the Annual General Meeting.

15. A motion passed at the Annual General Meeting may amend this Constitution.

16. Should Friends of Russia Dock Woodland cease to exist, any residual funds shall be spent within Russia Dock Woodland.

INSURANCE INFORMATION

The group will take out Public Liability and Personal Accident Insurance with BTCV Insurers (Zurich Municipal)
The steering Committee will carry out Health and Safety Risk Assessments using BTCV generic RA’s with a local review for volunteer days.
